Multitasking: why “doing two things at once” is usually task-switching
You are listening to a meeting, answering a message, and watching an email arrive out of the corner of your eye. It feels as though all three things are moving forward. Then somebody asks what the meeting agreed, and you have to ask them to repeat it.
“The brain cannot multitask at all” is memorable, but it is also too simple. We can walk and talk, cook a familiar meal while listening to music, or drive automatically along a familiar route. The difficulty begins when two tasks require conscious attention, a choice, or new information to be held in mind at the same time.
What follows is usually rapid task-switching rather than magical parallel work. It does not damage the brain or “burn through serotonin.” But after a switch, we generally respond more slowly, make more mistakes, and spend time recovering the context of the previous task.

In brief: parallel activity or task-switching?
Two things at once is not always multitasking
The myth is not that human beings can never combine activities. The myth is the promise that two complex tasks can both receive full attention at the same time and therefore be completed faster.
Some activities are automatic; others require conscious control. Washing a familiar cup while listening to a podcast may involve no noticeable loss. Try writing a precise message to somebody else during an important conversation, and one of the tasks will begin to give way.
This is particularly deceptive in work where switching itself looks like progress. In an hour, you opened twenty documents, answered ten people, and joined three discussions. There was plenty of movement. Not one piece of work may be finished.
Busyness is easy to see from the outside. The cost of returning to a task usually remains out of sight.
The 1-a-2-b experiment
In my burnout course, I suggest a simple experiment. Its purpose is not to assess your ability, but to let you feel the moment of switching for yourself.
- Count from one to twenty as quickly as you can.
- Now say the first twenty letters of the alphabet.
- Then alternate between the two sequences: 1-a, 2-b, 3-c, and so on.
The third version usually takes longer and requires more control. A mistake tells you only that the rule is changing: number now, letter next, then number again.
A working day is more complicated than the exercise. After answering a message, you must remember where the argument in your text stopped, what has already been checked, and which decision was meant to come next. If switches occur every few minutes, part of the day goes not into the tasks themselves, but into restoring their context.
What does switching cost?
In experiments, people generally respond more slowly and make more errors after changing tasks than when repeating the same rule. Preparation reduces the difference, but does not always remove it completely. Researchers call this the switch cost. Its size depends on the complexity and similarity of the tasks, as well as practice.
Stephen Monsell’s review describes several processes behind this cost: the new rule has to be activated, while the previous task continues to interfere for a while. This is more precise and more honest than a story in which every switch consumes a supply of serotonin.
The cost depends on the tasks. Moving from one similar email to another is easier than moving from a financial calculation to an emotional conversation. A familiar action is easier than a new one. Practice can reduce some of the loss. There is therefore no universal figure such as “multitasking reduces productivity by 40%.”
The everyday conclusion is still reliable: if work requires accuracy, context, and a new problem to be solved, constant switching rarely makes it easier.
Why it is not only a matter of self-discipline
“Just turn off your notifications” helps only if you have the right to turn them off. A dispatcher, a doctor on call, a manager handling a crisis, or the parent of a small child cannot arrange four hours of sterile silence.
Even in those roles, it is possible to distinguish what is truly urgent from what is urgent by habit. If every question arrives in the same chat with a red exclamation mark, the brain is not the problem. The system does not know how to set priorities.
Office cultures often reward frequent interruptions: reply immediately and you are responsive; concentrate quietly and somebody asks, “Where have you gone?” The employee is expected to remain continuously available while also producing work that requires depth. Those are conflicting demands, not a personal weakness.
A useful discussion of multitasking therefore needs more than a timer and willpower. It also needs team rules: which channel is urgent, how long it is reasonable to wait for a reply, when a person can close the chat, and who changes priorities when a new task arrives.
Is multitasking connected to burnout?
Frequent task-switching can be one job demand: the day becomes fragmented, mistakes increase, unfinished work accumulates, and your sense of control declines. Burnout, however, develops in a wider system, not because of one messaging app.
The World Health Organization describes burnout as an occupational phenomenon resulting from chronic workplace stress that has not been successfully managed. One app is therefore less important than the whole system: the volume of work, your ability to influence priorities, recovery between working days, and the expectation of constant availability.

How to reduce unnecessary switches
Single-tasking is not moral purity or a ban on listening to music while washing dishes. It is a tool for work that genuinely needs full attention. Use it where the cost of an error or lost context is high.

How a test may help
The burnout test helps you look at the wider picture: responsibility, anxiety, sleep, and other signs of occupational strain. It cannot calculate the right number of switches for you; that is better judged through the actual work, errors, and how you feel.
